Statement Policy: Health Fund Availability and Treatment Billing

At our practice, we strive to provide clear communication regarding the services we offer and the associated fees. To ensure transparency and fairness for all clients, we have implemented the following policy regarding health fund claims and treatment billing:

  1. Health Fund Coverage Responsibility:

    • It is the client's responsibility to ensure that their health fund balance is sufficient and available for remedial massage claims prior to their appointment.

    • Our practitioners will process health fund claims via the HICAPS terminal at the time of service. Should the claim be declined or if the balance is insufficient, the client is still required to pay the full amount for the remedial massage service provided.

  2. Service and Fee Adjustments:

    • The treatment provided during your session is determined based on your booking and clinical needs at the time. If you have received a remedial massage treatment, the corresponding fee of $130 applies.

    • We do not adjust the service or fee retrospectively to a relaxation/Swedish massage (fee: $90) if a remedial massage has already been provided. Treatment fees are based on the service delivered, not on health fund availability.

  3. Payment Obligation:

    • If a client’s health fund does not cover the remedial massage or has insufficient funds, the client remains responsible for paying the full cost of the remedial treatment.

    • All services provided are charged according to the treatment that was conducted, as per the practitioner's professional assessment and delivery during the session.

  4. Cancellation and Rescheduling:

    • If a client wishes to adjust their treatment to a relaxation/Swedish massage, this must be communicated prior to the start of the session. Once treatment has commenced as remedial, the full remedial rate will be charged.

    • In cases where the health fund balance is uncertain, clients may reschedule or adjust their treatment in advance to avoid any payment issues.

We value your understanding and cooperation in adhering to this policy. If you have any questions or concerns regarding your treatment or health fund claims, please feel free to discuss them with us prior to your appointment.

1. Late Payments and Payment Methods:

  • Payment Deadline: All payments are due at the time of the appointment, regardless of the client’s health fund claim status.

  • Accepted Payment Methods: We accept payments via credit card, EFTPOS, and cash. Payment via HICAPS (if approved) is also accepted for health fund claims, but the client must cover any outstanding balance (gap) immediately after the session.

  • Late Payments: Any payments not settled on the day of the appointment may incur a late payment fee. Failure to resolve outstanding payments within a reasonable period (e.g., 7 days) will result in further action, which may include external debt collection.

2. Cancellations and No-Shows:

  • Cancellation Policy: We require at least 24 hours' notice for any cancellations or rescheduling of appointments. If less than 24 hours' notice is provided, a cancellation fee of 50% of the service cost will apply.

  • No-Show Policy: Clients who do not attend their appointment without prior notice will be charged 100% of the service fee. This ensures that we can manage our schedule effectively and offer availability to other clients.

3. Refunds and Adjustments:

  • No Refunds for Health Fund Claim Issues: Once a treatment has been provided, no refunds will be issued based on health fund claim rejections or insufficient coverage. It is the client’s responsibility to confirm their coverage prior to the appointment.

  • No Retrospective Discounts: We do not offer retrospective discounts or adjustments if a client realizes their health fund does not cover the service after treatment has been rendered.

4. Health Fund Requirements for Remedial Massage:

  • Health Fund Eligibility: Remedial massage claims are subject to the individual’s health fund policy. It is the client’s responsibility to ensure that remedial massage is covered and that all required documentation, such as a GP referral (if applicable), is provided prior to the appointment.

  • Receipts for Claims: For clients choosing to claim via their health fund manually (if HICAPS is not available), we will issue an itemized receipt. However, it remains the client’s responsibility to process this claim directly with their health fund.

5. Health and Safety Disclosure:

  • Client Disclosure: Clients are required to provide accurate and up-to-date health information prior to their appointment. Failure to disclose relevant medical conditions, injuries, or contraindications may result in the treatment being canceled or modified for safety reasons. In such cases, full payment for the session may still apply.

  • COVID-19 and Illness Policy: If you are experiencing any cold, flu, or COVID-19 symptoms, we request that you reschedule your appointment. We reserve the right to refuse treatment if a client presents with symptoms. No-shows or late cancellations due to illness may still be subject to our cancellation policy unless otherwise discussed.

6. Liability and Scope of Practice:

  • Scope of Practice: Our therapists are licensed to provide remedial massage therapy and related services. Treatments provided will always fall within the practitioner’s scope of training and experience.

  • Liability Waiver: By booking and attending an appointment, clients acknowledge that while we take every precaution to ensure a safe and effective treatment, they are aware of the potential risks associated with massage therapy and agree that we cannot be held responsible for any unforeseen outcomes.
